Role:
As the academy’s General Administrator, you will provide general administrative support to the academy Business Manager and Office Manager to support the office function and be willing to work in a variety of functions including reception, operations, and day-to-day management of the office duties to support the academy. You will have an essential role in the continuing operational success and development of the academy, this includes:
Communicating with different stakeholders including staff, suppliers, students, and parents.
Providing secretarial support for example arranging meetings, booking conference rooms, supporting reception with ad hoc duties and office administration.
Keeping the academy’s key processes, procedures, and systems up to date.
Duties and Responsibilities:
Undertake data input/word processing of correspondence, reports, publications, and other documents.
Proficient in using a range of Microsoft Office programmes including Word, PowerPoint, Excel, Teams, and Office 365.
Responsible for the keeping and updating school records producing reports as required.
Deal with telephone and email enquiries in a timely and professional manner.
Conduct regular audits of the database, in particular prior to the completion of the student census.
Provide cover support to operational areas of the academy such as main reception, ensuring visitors are welcomed and supported during their visit.
Support pastoral team with classroom transfer management support (On call)
Ensure incoming and outgoing mail is dealt with directly.
Ensure all parents, visitors, staff, and students, complying with the academy safeguarding protocols when visiting school, and ensure the academy reception is clean, tidy and to a high standard of presentation.
Assist in the distribution of academy communications.
Arrange and manage Taxi bookings.
Order and maintain stocks of stationary, first aid equipment and any other requests.
Take responsible for the distribution of student lockers and the collection of deposits.
Manage the academy email inbox and action all correspondence ensuring relevant staff members receive accurate information as appropriate.
Assist other key administrative staff, ensuring the collective team can provide operational excellence.
Carry out supervisory duties as directed by the academy Business Manager.
Apply academy policies in all aspects of the role.
Undertake other duties commensurate with the post.
Experience:
The successful candidate will ideally have administration experience, a friendly disposition and excellent IT skills. The candidate will need to be highly organised and be able to work under pressure and to deadlines, showing initiative and acting proactively. The appointed candidate will have a positive work ethic and can-do attitude.
Proactive, approachable, and calm professional.
Experience in a similar administration role.
Excellent communication skills and a high level of personal organisation.
Able to work professionally under pressure to meet deadlines, and operate flexibly within the changing needs of the school.
Good working knowledge of MS Office programmes.
Able to work accurately and efficiently both independently and as part of a team.
Demonstrate good attention to detail as well as being highly numerate.
